How do you back up a computer to OneDrive?
To back up computer to OneDrive, open OneDrive settings, go to Sync and backup, choose Manage back up and turn on Desktop, Documents and Pictures. Files then sync to OneDrive and appear on every device. This protects your key folders, but it is not a full system backup with long version history.
OneDrive is already on most Windows PCs, so it is the easiest first step. This guide shows the setup, then explains exactly what is and is not protected. Our existing guide covers backing up a phone to OneDrive.
| Protected by OneDrive folder backup | Not protected |
|---|---|
| Desktop | Installed apps and Windows itself |
| Documents | Folders outside the selected ones |
| Pictures, including Screenshots and Camera Roll | Other internal or external drives |
| Music and Videos (Windows, where offered) | Deleted files after 30 days (personal accounts) |
| Desktop and Documents on Mac | Files excluded for size or type |
What do you need before you start?
You need a Microsoft account, enough OneDrive space and the OneDrive app. Free accounts get 5 GB. For more, Microsoft 365 Basic gives 100 GB at $1.99 a month, and Personal gives 1 TB at $9.99 a month in the US.
Check the size of your Desktop, Documents and Pictures folders first. If they exceed your plan, OneDrive will stop syncing. See check OneDrive storage to see what uses space.
Step by step: turn on OneDrive folder backup
- Click the OneDrive cloud icon in the taskbar.
- Select the gear icon, then Settings.
- Open Sync and backup and choose Manage back up.
- Turn on the folders you want to protect.
- Select Start backup and wait for the sync to finish.
On a Mac, the OneDrive app offers the same option for Desktop and Documents.

Get the checklistWhat OneDrive misses, and how to fill the gaps
OneDrive misses three important things: files outside the selected folders, long-term version history and a way to restore the whole computer. Each gap has a simple fix.
Other folders and drives
Work projects saved in custom folders or on a second drive are not included. Move them into Documents, or add a dedicated backup service that covers all drives. See back up computer to the cloud.
Version history and deleted files
Microsoft keeps items in the personal OneDrive recycle bin for 30 days. If you notice a deletion later, it is gone. Paid Microsoft 365 plans add ransomware detection and file restore, but a separate backup still adds safety.
Whole-computer restore
OneDrive cannot rebuild Windows and your apps. For that, create a system image on an external drive. Read cloud system backup for how imaging works.
Common mistakes and fixes
- Running out of space. Sync stops silently. Upgrade or move large videos elsewhere.
- Deleting local files “to save space”. That deletes them from OneDrive too. Use Free up space instead.
- Assuming OneDrive is a backup forever. The 30-day recycle bin limits recovery.
- Syncing a work account. Your employer controls that data. Keep personal files in a personal account.
How to verify the OneDrive backup
Go to onedrive.com and confirm your Desktop, Documents and Pictures folders appear with recent files. Open a file, then check its version history. Repeat after any big change. For more, read our OneDrive storage review and the computer backup hub.
Frequently asked questions
How long does it take to back up a computer to OneDrive?
Turning on folder backup takes a minute, but the first sync depends on folder size and upload speed. A few gigabytes of documents finish quickly, while a large Pictures folder can take hours or days. After that, OneDrive syncs changes within minutes.
What do I need before I back up a computer to OneDrive?
You need a Microsoft account, the OneDrive app and enough storage for your Desktop, Documents and Pictures folders. Check folder sizes against your plan, which starts at 5 GB free. Turn on two-factor login for your Microsoft account first.
What are common mistakes with OneDrive computer backup?
Common mistakes include running out of space, deleting local files and losing the cloud copy too, assuming everything is included and relying on the 30-day recycle bin for old deletions. Folders outside the selected ones and other drives are not backed up automatically.
Is OneDrive a real backup?
It is a sync service with backup features. It protects selected folders and keeps deleted files for 30 days on personal accounts, plus version history. It does not keep long retention or restore your whole computer, so pair it with a dedicated backup or local drive.
Can I back up an external drive to OneDrive?
Not directly with folder backup. OneDrive syncs folders inside your OneDrive folder on the main drive. To protect an external drive, copy files into OneDrive manually, or use a cloud backup service that supports attached drives, such as Backblaze.
